Position Overview
To be responsible for overseeing a team delivering high quality coaching and support in the implementation of a new Acuitas practice management system (PMS) to FYidoctors clinics. To establish, implement, develop, and control best practices for project delivery, to include defining and documenting all policies and processes in order to limit the impact of the application on practice revenue.

Liaise with Optometrists to define and implement program functionality within Acuitas to support and enhance the optical exam process. Produce detailed working documents for the Senior Development Team and third party software engineers in order to implement enhancements and additional functionality within Acuitas and the Oracle database. Create additional specifications for interfaces into back end FYidoctors system to control practice level function and deliver centralized processes to reduce staff administration.

Ensure all staff is confident in the use of the application in relation to FYidoctors-specific policy and procedure. Some travel across Canada and time away from home is part of this role.

The key areas of responsibility for the PMS Business Analyst include:

  • In store training delivery, leadership within the practice teams, facilitating a comfortable learning environment for all levels, teamwork and knowledge transfer
  • Responsible for assisting the project management and delivery of practice management system into all FYidoctors locations
  • Identify and document requirements for management approval 
  • Produce detailed working documents to support development teams
  • Identify and document interface processes between Oracle and FYidoctors systems
  • Assess requests and maintain communication with the relevant advisory groups to obtain clarity and sign off of all enhancement requests
  • Liaise with optometrists to ensure all clinical expectations are met or exceeded within the Acuitas System

  • Manage doctor expectations and communication at all points of the development cycle
  • Provide advice on PMS strategy, policy and service delivery
  • Develop best practices, techniques, and tools for planning and documentation that can be used for future implementations
  • Establish effective communication and expectation management techniques and to ensure that these are implemented to all project stakeholders in a clear and concise fashion
  • Ensure that project success criteria are agreed and disseminated to involved parties throughout project implementation
  • Communicate Acuitas/FYidoctors standards and techniques to the appropriate staff
  • Accept status reports, change requests, escalation requests and requirements documentation to ensure all issues and requests are captured and communicated at the time of implementation
  • Provide daily updates on progress and acceptance, escalating issues where required
  • Troubleshoot problem areas to mitigate project risks
  • Conduct implementation post mortems and create recommendations in order to identify successful and unsuccessful project elements
  • Ensure that all training documentation is maintained to a high level of accuracy and quality
  • Work together with other departments and divisions within the organization to identify any process improvements and improve standards and efficiency

Required Knowledge, Skills and Abilities

  • 3-5 years of experience in a training/project team or relevant optical practice experience with evidence of managing change
  • Understanding of the software development lifecycle would be an advantage
  • You will need to demonstrate optical retail experience of a similar nature. Previous experience of retail system roll outs and or upgrades would be advantageous
  • Ability to work at all levels with commercial and technical teams within the business is crucial to the success of this role

  • Previous experience within a fast paced environment, executing tasks in a high-pressure retail environment is crucial

FYidoctors is currently seeking a MARKETING COORDINATOR to support our marketing team and help our clinics build and execute on the brand experience. The Marketing Coordinator will work directly with the Marketing Managers to support various tactics and initiatives to improve awareness and/or sales at the local level. The Marketing Coordinator will report to the Marketing Managers and will be primarily responsible for assisting the Marketing Managers as needed and as directed in the process of helping our clinics to identify and execute on their local marketing needs while supporting the FYidoctors brand. The Marketing Coordinator will also support Director of Marketing with any national plans or initiatives that require further assistance or support.

Key Responsibilities:

  • Support the marketing team and understand the national marketing strategy to ensure that the national marketing strategy is being executed at the clinic level (along-side and with guidance from the Marketing Managers)
  • Report to and assist the Marketing Managers with execution and reporting of local marketing tactics and plans; examples of this may include but is not limited to:
    • Contacting and negotiating with local suppliers (e.g. print, promotional products, etc.)
    • Coordinating and executing on tactical needs (e.g. filtering clinic email lists, cleansing marketing databases, coordinating print quantities, etc.)
    • Assisting with graphic design requests by communicating with clinics to clarify needs, coordinating the design process and delivering creative proofs to clinics, etc.
    • Assisting with the tracking and reporting of promotional sales and campaign results
  • Support and assist (as directed) the Marketing Managers’ responsibilities and management of:
    • Marketing events, including tradeshow coordination and fundraising efforts
    • Any or all social media needs, providing input and suggestions where needed and/or where the opportunity presents itself
    • Clinic microsites, including the input and editing of content and helping to coordinate and manage on-going website development/changes
    • Email campaigns, including preparation and deployment of emails
    • Digital marketing screens to ensure content is updated on all digital marketing presentations
    • The internal web store to ensure all POP and marketing materials are up-to-date with accurate counts and appropriate distribution
    • The online printing portal, including providing guidance and support to clinics where needed
    • Marketing collateral, including the management of stationery and promotional products, as well as the creation and optimization of generic marketing tools
  • Support the Director of Marketing as needed or when required on national projects or tactics requiring coordination and follow-up
  • Seek to identify unique strategies and ideas to help drive sales and brand awareness and bring these ideas forward to the Marketing Managers and Director of Marketing for approval and execution
  • Administrative duties as required

Qualifications:

  • Undergraduate degree, preferably in business and/or marketing
  • 2+ years’ experience in a related and/or similar type position (e.g. account management, retail sales, marketing, etc.)
  • Proven organizational and coordination skills
  • Excellent work ethic and attention to detail
  • Ability to work and adapt in a dynamic environment (i.e. must be flexible and open to change)
  • Computer skills, including advanced working knowledge of Microsoft Office suite (Excel, Word, PowerPoint and Outlook). Experience with content management systems is an asset
