Position Overview
To be responsible for overseeing a team delivering high quality coaching and support in the implementation of a new Acuitas practice management system (PMS) to FYidoctors clinics. To establish, implement, develop, and control best practices for project delivery, to include defining and documenting all policies and processes in order to limit the impact of the application on practice revenue.

Liaise with Optometrists to define and implement program functionality within Acuitas to support and enhance the optical exam process. Produce detailed working documents for the Senior Development Team and third party software engineers in order to implement enhancements and additional functionality within Acuitas and the Oracle database. Create additional specifications for interfaces into back end FYidoctors system to control practice level function and deliver centralized processes to reduce staff administration.

Ensure all staff is confident in the use of the application in relation to FYidoctors-specific policy and procedure. Some travel across Canada and time away from home is part of this role.

The key areas of responsibility for the PMS Business Analyst include:

  • In store training delivery, leadership within the practice teams, facilitating a comfortable learning environment for all levels, teamwork and knowledge transfer
  • Responsible for assisting the project management and delivery of practice management system into all FYidoctors locations
  • Identify and document requirements for management approval 
  • Produce detailed working documents to support development teams
  • Identify and document interface processes between Oracle and FYidoctors systems
  • Assess requests and maintain communication with the relevant advisory groups to obtain clarity and sign off of all enhancement requests
  • Liaise with optometrists to ensure all clinical expectations are met or exceeded within the Acuitas System
  • Ensure that customer expectations are correctly set and achieved at all times
  • Promote and maintain the highest level of processes, best practice and knowledge sharing within the PMS team to ensure that the quality and consistency of delivery is outstanding, at all times
  • Work closely with the operations and accounting teams to ensure that FYidoctors procedures are followed at all times
  • Provide ongoing analysis and definition of future enhancements and create technical requirements document for software development team
  • Manage doctor expectations and communication at all points of the development cycle
  • Provide advice on PMS strategy, policy and service delivery
  • Develop best practices, techniques, and tools for planning and documentation that can be used for future implementations
  • Establish effective communication and expectation management techniques and to ensure that these are implemented to all project stakeholders in a clear and concise fashion
  • Ensure that project success criteria are agreed and disseminated to involved parties throughout project implementation
  • Communicate Acuitas/FYidoctors standards and techniques to the appropriate staff
  • Accept status reports, change requests, escalation requests and requirements documentation to ensure all issues and requests are captured and communicated at the time of implementation
  • Provide daily updates on progress and acceptance, escalating issues where required
  • Troubleshoot problem areas to mitigate project risks
  • Conduct implementation post mortems and create recommendations in order to identify successful and unsuccessful project elements
  • Ensure that all training documentation is maintained to a high level of accuracy and quality
  • Work together with other departments and divisions within the organization to identify any process improvements and improve standards and efficiency

Required Knowledge, Skills and Abilities

  • 3-5 years of experience in a training/project team or relevant optical practice experience with evidence of managing change
  • Understanding of the software development lifecycle would be an advantage
  • You will need to demonstrate optical retail experience of a similar nature. Previous experience of retail system roll outs and or upgrades would be advantageous
  • Ability to work at all levels with commercial and technical teams within the business is crucial to the success of this role
  • Proven strategic aptitude and ability
  • Previous experience within a fast paced environment, executing tasks in a high-pressure retail environment is crucial
  • Strong leadership and communication skills are a prerequisite
  • Ability to communicate and drive change across the business to translate business requirements into practical processes within a practice

Qualifications (Education, Experience and Training)

  • 3-5 years of working experience in large scale clinical roll outs and developing optical retail applications in line with customer requirements.
  • A bachelor's degree in computer science, computer systems engineering, software engineering, business administration or a related discipline is required.
  • Experience in developing and deploying best practices, policies, procedures, and processes.
  • Excellent understanding of current, lens, frame and contact lens product. Understanding of ophthalmic test equipment and its uses.
  • Training delivery experience essential

As the Senior Accountant, you will report to the Controller and are responsible for supervising, developing and training a team of accountants along with performing a variety of accounting functions such as compiling financial statements, variance analysis and review of balance sheet reconciliations while adhering to generally accepted accounting principles and reporting requirements. The ideal candidate will possess excellent interpersonal skills, proven supervisory skills, above average accounting skills and an ability to motivate and build a strong cohesive accounting unit within their area.

MAJOR ROLES AND RESPONSIBILITIES:

  • Continually monitor the progress of team members through the use of continuous communication and periodic performance appraisals.
  • Communicate all changes and new business developments to the team as they arise.
  • Support month-end, quarter-end and year-end accounting closing procedures, including recording adjusting entries, verifying account balances, and ensuring completeness and integrity of G/L data. Provide detailed reconciliations for annual audits, tax returns and other special reporting.
  • Perform month-end duties, which include but are not limited to approval of month-end journal entries, preparation & analysis of balance sheet account reconciliations, variance analysis and variance reporting.
  • Perform banking duties such as, set up of accounts, paying invoices via cheques or online, processing transfers, wires, and disbursements, as well as corresponding directly with financial institutions.
  • Prepare financial and accounting reports for purposes of consolidated company financials in accordance with generally accepted accounting principles.
  • Assist in preparing of annual budgets and forecasts.
  • Prepare working papers for external auditors’ quarterly review and yearly audit.
  • Establish and maintain documentation pertaining to accounting procedures/processes as applicable to area of responsibility.
  • Design and improve internal controls ensuring all operational business processes and policies are documented.
  • Inventory management – reconciliation of inventory sub ledgers to the GL.
  • Maintain the Capital Asset register and support the CAPEX policy and procedures.
  • Provide supervision, assistance and work leadership to team.
  • Train new team members to be fully functioning members of the team.
  • Adhere to company policies, merchant contracts, Automated Clearing House and Canadian Payment Association rules and procedures and GAAP and reporting requirements. 
  • Identify opportunities to gain efficiencies within the department.
  • Assist in other related tasks and adhoc projects as assigned by Senior Management.

KNOWLEDGE, SKILLS & ABILITIES:

  • Advanced knowledge of Microsoft Office products (Excel, Word, Outlook).
  • Good experience and knowledge in Accounting Software like ACCPAC/ Accellos.
